Required Documents

All students who spend an Erasmus study period abroad must submit the following documents to the Erasmus team. This obligation arises from the acceptance of the Erasmus study place, regardless of whether a mobility grant is paid or not.

Test must be completed in the language of study at the host university (English, French, Spanish, Italian or Dutch). The request will be sent by the OnlineLinguisticSupport Center.

To be completed no later than one month before the originally planned end of mobility at the host university.

Informal written consents must be submitted by the Erasmus coordinator and the coordinator at the host university. Please note that only an extension from the winter term to the summer term is possible.

Confirmation of stay

To be completed one week before your last exam/class, at the earliest!

Indication of your first and last study day incl. orientation days and exams day exactly. Send original by mail to the Erasmus team or forward e-mail from the host university in full incl. attachment.

If the transcript is sent directly from the host university to the Erasmus team, you will be notified by email.

All final documents must be uploaded as a PDF via an online form in the MoveON Outgoing Portal of the FU.

  • Please open the link to the MoveON Outgoing Portal only via the browsers Firefox, Google Chrome or Microsoft Edge in the latest version.

  • Log in with your existing MoveON access data (e-mail, password).
  • Open the online form in the portal with the name “Erasmus+ Study Europe and SEMP: Final documents” by clicking on “Start”.

If several options appear in the form field “Your stay”, please select “Your surname, your first name - 2024/25 - Erasmus+ Studium”. If nothing appears in the drop-down, you have not logged in with your existing/correct MoveON access data.

 

Please note:

According to the Erasmus+ regulations only students that have submitted all mandatory documents are eligible for funding. If the Erasmus office does not receive the required documents by the deadline, we will be forced to stop the payment of your mobility grant and you will have to repay the entire funding amount.

 

Erasmus+ Mobility Grant

Studying abroad generally incurs additionally costs compared to the cost of living in your home country. The Erasmus mobility grant is designed to cover a part of these additional costs. Financial support varies depending on the different living costs in the program countries.

The European Commission divides the program countries into three groups. The DAAD determines three monthly funding groups.

The financial support consists of at least the funding rate per country. In addition, top-up amounts are possible for Less Opportunity and Sustainable Travel.

Top-up amount for sustainable travel (Green Travel)

For the use of sustainable, low-emission means of transport for the main part of the journey to/from abroad (train, bus, carpooling, bicycle), a one-off lump sum of 50 euros can be paid in addition to the funding rate per country.

In addition, Erasmus+ participants who need more time to travel due to the use of sustainable means of transport can receive up to 4 additional days of travel funding as part of the individual support (funding rate per country).

Online Learning Agreement

Since the academic year 2021/22, the analog Learning Agreement at Freie Universität has been replaced by the digital "Online Learning Agreement".

Students must create their online learning agreement independently via the portal www.learning-agreement.eu and send it to their respective Erasmus+ coordinator.

It is especially important that the e-mail addresses of the respective coordinators of Freie Universität and the partner university are correct. The online learning agreement must always be sent via the area through which you are completing your stay abroad.
If you are studying several subjects and would like to take and have recognized courses in a subject that does not belong to the area through which you are going abroad, please also fill out the "OLA Supplement" and have the courses signed by the respective recognition officers.

Studying abroad usually involves additional costs compared to the cost of living at the home university. The Erasmus mobility grant is intended to cover some of these additional costs.
The financial support for Erasmus stays by students is based on the different costs of living in the program countries.

The European Commission divides the program countries into three groups. The National Agency for Erasmus in Germany (DAAD) determines the monthly financial support for the three groups.

The financial support consists of at least the funding rate per country. In addition, top-up amounts are possible for Less Opportunities and Sustainable Travel.

The Erasmus+ funding period is determined by us before the start of the study abroad and corresponds to the duration of studies at the host university. The regular semester dates will be used for start date and end date (see  https://fuberlin.adv-pub.moveon4.de/austauschmoeglichkeiten/).

  • Introductory/welcome days
  • Lecture period
  • regular examination period
  • if applicable, period for repeat examinations, if these do not take place after the semester break.

The Erasmus+ funding period consists of a part with financial grant and a part without financial grant (zero-grant funding). The duration of the financial grant or zero-grant funding is determined anew by the FU Berlin for each academic year.

Top-up fewer Opportunities

Students with fewer Opportunities may receive a monthly lump top-up of 250 euros (8.33 euros/day) in addition to the funding rate per country.

Students with fewer opportunities include

  • Students with child(ren),
  • Students with disabilities (from GdB 20),
  • students with chronic illness,
  • students from non-academic parents (both parents or caregivers do not have a degree from a University, University of Applied Sciences or University of Cooperative Education, The website of the Accreditation Council Foundation can be used to check whether a degree is considered an academic degree).
  • employed students (at least 6 months of continuous employment prior to the start of the stay abroad, monthly net salary above 450€ and below 850€, paused work abroad or has ended > Loss of earnings).

If several target group characteristics apply (e.g. first-time graduate and employed student): the top-up amount can only be paid for one target group characteristic, i.e. it cannot be combined.

Participants with disabilities or chronic illnesses and participants with children can claim real costs.

Funding for sustainable travel (Green Travel)

For the use of sustainable, low-emission means of transport for the main part of the journey to/departure from abroad (train, bus, carpooling, bicycle), Erasmus+ participants who need more time for the journey due to the use of sustainable means of transport can receive up to 6 additional travel days as part of individual support (funding rate per country).

Funding for the so-called “Green Travel Top-Up” (one-off lump sum of 50 € for sustainable travel) will no longer be available in 2024/25.

When traveling by non-environmentally friendly means of transport (plane, car), up to 2 travel days can be funded.

Erasmus+ participants must be able to prove their eligibility through supporting documents. They must be in possession of the following supporting documents:

  • Sustainable Travel/Green Travel/Travel Days: travel documents (tickets, boarding passes, booking confirmations, etc.)
  • Child/children: birth certificate(s) and travel documents child/children
  • Disability/GdB: Severely handicapped pass, notice from the state social welfare office
  • Chronic illness: medical certificate confirming that additional financial requirements will arise abroad due to the chronic illness.
  • First-time university graduate: informal information about the educational qualifications of the parents, declaration of honor by the parents
  • Gainful employment: salary slips, tax returns

Payment arrangements:

The basis for the payment of the mobility grant is the original Grant Agreement to be issued by the Erasmus+ Team Outgoings. All Erasmus students will receive this individually by e-mail and will be informed about the payment modalities of the mobility grant as well as about the related obligations.

The payment of the grant by the Erasmus+ Outgoing Team is generally made in two installments. Erasmus+ students will receive approximately 75% of the expected total grant, staggered by country group, as the first installment within the first weeks of study abroad.
The remaining amount will be paid only after receipt of all required documents (Learning Agreement, Erasmus+ Confirmation of Stay, Experience Report, Enrollment Certificates, EU Survey, Trancscript of Records).

BAföG

In order to continue receiving the BAföG grant, students must complete an application for the “BAföG for studies abroad”. The application must be handed in to the BAföG office responsible for the host country. Please complete the application as early as possible due to long administrative processing times.

The Erasmus+ top-up amounts fewer opportunities for students with a disability, students with a chronic illness and students with child/children do not count towards the BAföG abroad.

The Erasmus+ top-up amounts fewer opportunities for students from a non-academic family and students in employment are taken into account for the BAföG abroad.
