Frequently Asked Questions

Applicant

The publication fee will be covered only if a Freie Universität member is responsible for the settlement of the fee as "submitting" or "corresponding author." The author must be a Freie Universität member at the time when payment is made (§ 43 Berliner Hochschulgesetz).

Yes. Everybody officially pursuing doctoral studies at a university in Berlin is a member of that university according to section 43(5) of the law governing higher education in Berlin (Gesetz über die Hochschulen im Land Berlin, BerlHG). Consequently, you can apply, as long as your article is in keeping with the conditions.

  • Doctoral students: doctoral students admitted to and enrolled in doctoral programs of Freie Universität Berlin.
  • Postdocs i.e. research fellows on fixed-term positions, holding a PhD, in the process of habilitating or already habilitated as well as experienced researchers with up to 10 years of post-doctoral research experience, excluding non-research periods.

Charité functions as a separate organizational entity.

The Charité Open Access Team will assist you with any questions about open access and associated services at the Charité. Further information can be found on the website: https://bibliothek.charite.de/en/publishing/open_access/.

Conditions for funding

The invoice must be assignable unequivocally to a corresponding oder submitting author at Freie Universität Berlin. The FU affiliation must be clearly recognizable in the publication and on the invoice. The authors are responsible for the correct indication.

Yes. However, the author's Freie Universität address has to be given as official address – either exclusively or in combination with another address.

The relevant question is only whether the publishing journal is a "genuine" open-access journal. As a rule, such a journal will be listed on http://www.doaj.org/. It is of no importance through which additional websites the article is channeled.

Even if journals have not (yet) been registered with the DOAJ, publication fees can be covered through the publication fund. In all cases, journals must be genuine open-access journals, and according to the regulations, they must have strict quality-assurance procedures in place.

Processing of applications

Yes, once the process is complete, you will receive an e-mail from the document server editorial team in which you will also be informed of the URL of your resource that has been activated in Refubium.

Invoice

You can enter your FU affiliation or the following address of the document server editorial team as billing address:
Freie Universität Berlin
Zentralbibliothek
Redaktion Dokumentenserver
Garystraße 39
14195 Berlin

Billing addresses without a Freie Universität Berlin reference will not be accepted.

If the publication fee exceeds the limit of 2000 EUR (excl. VAT) a pro rata funding is impossible. We recommend that authors apply for a waiver or reduction in fees.

If the “reverse charge procedure” (reverse charge) applies to the payment of your invoice, the VAT identification number of Freie Universität Berlin must be noted on the invoice. This is:
DE 811304768

The “reverse charge procedure” applies to almost all foreign invoices. Please contact the document server editorial office if you have any questions:
edocs@ub.fu-berlin.de

If an APC exceeds the 2000 EUR (excl. VAT) limit by a small amount and if that overrun is caused only by exchange-rate fluctuation, the article will not be excluded from funding.
