Guidelines for Doctoral Theses

The number of copies that candidates are required to submit is specified in each department's doctoral graduation regulations. For all publishing forms an imprimatur issued by the department is required.

Note:

Printed copies must have a permanent adhesive binding; all other forms of binding, for example, ring binding will not be accepted. We reserve the right to reject those copies.

The regulations for some departments require candidates to include their curriculum vitae in their printed theses.

Dissertations must be printed on wood-free and acid-free paper. The paper size (preferably double-sided) should be a format in the range of A5 (148 × 210 mm) to A4 (210 × 297 mm). The printed copies must include the thesis title page (see sample).

The regulations in some departments allow for the written component of doctoral accomplishments to consist of a number of individual papers. These papers may have been published or not. The combination of papers must represent a complete self-contained description of the research activities carried out and the results obtained.

If candidates in the multi-paper doctoral procedure decide to submit their work in electronic form, they can exclude certain parts that have already been published if the respective publisher does not permit a second publication. For information about which publishers allow second publications under which conditions, see SHERPA/RoMEO.

If permission for second publication is withheld by the publisher, candidates must provide a reference and, if possible, a DOI link to the original article. (Example: The link to the DOI 10.1016/j.ddstr.2007.08.003 would be https://doi.org/10.1016/j.ddstr.2007.08.003) However, the printed copies submitted must comprise the original articles.

Please note: A DOI link can only be set if it already existed before the submission of the thesis to the doctorate office. Otherwise a version would be published which does not correspond with the version which was approved by the Doctoral Thesis Committee.

The number of publisher copies that candidates are required to submit is specified in each department's doctoral graduation regulations. In addition to the publisher's title page the copies submitted to the dissertations department must also include a title page as specified in the sample title page (see general) and conform to the requirements specified above.

All other copies must either include a statement that the work is a dissertation submitted to the Freie Universität Berlin or the abbreviation D 188. Further, candidates must submit proof in writing confirming a publisher's print run of least 150 copies given corresponding demand. For the Department of Mathematics and Computer Science, a print run of at least 95 copies is applicable.

Provided that
- the title is kept available (for at least 5 years, basically unlimited according to long term archiving)
- the title is entered in “Verzeichnis lieferbarer Bücher” (the German list of available books)
we don’t need a written confirmation about the print run.

However, the PDF file of your dissertation is to be delivered additionally, which will be archived long-term after 5 years on our Refubium. This is not necessary if the publisher guarantees long-term archiving (for at least 5 years, basically unlimited according to long term archiving) of the e-book.

If a dissertation is distributed by a commercial enterprise and a grant by a public-body donor was awarded to offset the printing costs, an extra two copies must be submitted to the University Library for exchange purposes.

Candidates must submit the master microfiche, the number of microfiche copies (specified in their department's regulations), and three copies printed and bound (see general).

Technical requirements: The microfiche must be produced on the basis of an original dissertation print supplied by the candidate to the producer. Please note that all information listed on the sample title page (see general) must be included. The following standards must be observed: DIN 19054 (microplan film, microfiche), DIN 19051 (test card), and DIN 19070 (durability).

A microfiche sheet has a header for the title and an array of 98 images (reduction factor no higher that ×24). The header must contain the following information: author, title, location and name of university, year of defense, university department; and pagination. Please mind using the correct name of your academic department, see Academic Departments. In the last part oft the header the number of microfiche sheets is depicted (see example).
